    The Transaction Coordinator will be responsible for providing support to a team of Sales Agents and facilitating transactional closing functions. Adhere to regulatory, compliance, and client service excellence standards and ensure accuracy and completeness of required documents to close transactions. Perform all duties in accordance with the company’s policies and procedures, all state and federal laws and regulations, wherein the company operates.



    • Act as the single point-of-contact for real estate agents regarding all aspects of a transaction, from initial contract through closing.
    • Obtain necessary information (i.e., listing agreements, executed contracts, HUD-1, etc.) to process and complete real estate transactions.
    • Proactively monitors pipeline to ensure timely closing of transactions.
    • Ensure all transactions are accurately entered into company systems of record.
    • Facilitate transactional closing functions within the accounting system of record, which is the basis for commission payments.
    • Distribute and collect relevant documentation and contractual material for a real estate transaction, ensuring completeness and data accuracy.
    • Maintain timely, accurate and transparent communication with all parties to each transaction, in accordance with company defined service level agreements and best practices.
    • Maintain highly confidential information in accordance with Company’s privacy policy concerning client information.
    • Monitor incoming documents verifying data provided by parties to a real estate transaction.
    • Inform agent as to the status of the transaction on a regular basis.
    • Ensure the quality and compliance of work with Company policies, procedures, and regulatory guidelines.
    • Ensure compliance deadlines are met with regards to state specific requirements surrounding a real estate transaction.
    • Communicate with Office Manager(s), Operations Supervisor, Operations Manager, and Brokers as required, to resolve outstanding issues.
    • Communicate with escrow officer/settlement agent, and/or title officer as required to resolved outstanding issues.
    • Develop and maintain thorough understanding of state requirements and guidelines regarding transactions.
    • Provide cross-coverage for Transaction Coordinator team members.
    • Perform other duties as assigned.


    • Knowledge of real estate and escrow best practices and regulations.
    • Basic skills in Microsoft Suite – Word, Excel, etc.
    • Excellent verbal and written communication skills.
    • Strong customer service skills.
    • Ability to manage confidential information in accordance with Company’s privacy policy concerning client information.
    • High level of organizational skills and ability to work on several transactions simultaneously.
    • Ability to communicate with clients and internal office staff.
    • Ability to manage multiple assignments and adapt quickly in a fast-paced environment.
    • Ability to handle detailed assignments.
    • Ability to organize and prioritize workload and meet deadlines.
    • Ability to add, subtract, multiply, divide and to record, balance, and check results for accuracy.



    • High school diploma or equivalent work experience.
    • 1 to 2 years experience as a Loan Processor, real estate transaction management, or similar experience required.
    • Previous customer service experience required.
    • Real Estate license preferred.
